Refund & Cancellation Policy

Diplotix is currently a pre-launch / beta hiring platform. This Refund & Cancellation Policy explains how cancellation, refunds, failed payments, disputes, plan changes, and partner-related commission reversals are handled for paid recruiter subscriptions.

This policy is written for an India-first launch. Diplotix currently uses INR as the launch currency and supports Razorpay and Stripe billing flows where implemented.

1. Introduction

Diplotix provides candidate, recruiter, partner, and admin platform features. Recruiter subscriptions are paid plans that may provide access to plan-gated recruiter features, usage limits, entitlements, trials, billing provider flows, and subscription management features.

This policy is intended to be read with the Terms of Service and Privacy Policy. The Terms explain general billing rules and platform obligations. The Privacy Policy explains how billing, subscription, payment, refund, chargeback, and provider records are processed and retained.

This policy does not promise automatic refunds, automatic proration, automatic credits, exact provider timelines, or a fixed grace period unless those terms are shown in a specific offer, checkout flow, written agreement, or required by applicable law.

2. Scope

This policy applies to paid recruiter subscription plans and related billing activity on Diplotix.

It covers:

  • Recruiter subscriptions.
  • Free trials where offered.
  • Cancellations.
  • Refund requests.
  • Failed payments.
  • Chargebacks and payment disputes.
  • Plan upgrades and downgrades.
  • Razorpay and Stripe billing flows where implemented.
  • Partner-related commissions affected by recruiter payments, refunds, chargebacks, disputes, cancellations, or voided payments.

This policy does not cover candidate accounts unless Diplotix later introduces paid candidate features. It also does not define final Partner Program Terms, payout thresholds, tax/KYC rules, or partner payout schedules.

3. Subscription Billing

Recruiter paid plans may be billed through Razorpay, Stripe, or another provider if Diplotix later adds one.

Subscription billing may involve:

  • Plan name.
  • Billing interval.
  • Subscription status.
  • Trial status.
  • Billing period.
  • Payment provider.
  • Payment, customer, subscription, invoice, refund, and webhook identifiers.
  • Amount, currency, tax, fee, refund, dispute, and chargeback information.
  • Usage and entitlement records.

The price, plan, billing interval, currency, tax treatment, checkout details, and subscription status shown in checkout, the billing provider flow, or the recruiter billing area are important commercial records.

INR is the current launch currency for India. Other currencies require future product, finance, and legal review.

4. Free Trials

Diplotix may offer free trials for eligible recruiter workspaces. Trial eligibility, length, plan access, conversion rules, and exclusions may depend on the product flow, offer, plan, payment provider, and anti-abuse checks.

Free trials are not guaranteed for every recruiter, company, workspace, referral, plan, or signup flow.

Partner-referred recruiters may be excluded from a free trial if the product enforces that rule. Diplotix should confirm the final partner-referred trial rule before public launch and before scaling the partner program.

Diplotix may restrict, deny, or end a trial if it detects duplicate accounts, fake companies, payment abuse, referral abuse, trial abuse, or other misuse.

5. Cancellation

Cancelling a paid subscription usually stops future renewal. It does not automatically refund past paid periods, partially used billing periods, setup work, consumed plan access, credits, or usage unless required by law, approved by Diplotix, or stated in a specific written offer.

The exact cancellation process may depend on the billing provider and the subscription state:

  • Stripe subscriptions may support subscription management through a Stripe billing portal where available.
  • Razorpay subscription management may require support assistance during beta where self-serve management is not available or not verified.
  • Manual, trial, test, or special subscription states may require support review.

Cancelling a subscription may reduce, pause, or remove access to paid recruiter features, plan limits, active job capacity, AI credits, team features, billing features, or other subscription entitlements.

6. Refunds

Diplotix does not promise automatic refunds.

Refunds may be approved:

  • Where required by applicable law.
  • Where Diplotix approves a refund case-by-case.
  • Where a specific written offer, checkout term, or agreement states a refund right.
  • Where Diplotix determines that a billing error, duplicate charge, provider issue, or other exceptional circumstance justifies a refund.

Refund requests may be denied where the paid plan was used, the billing period has started or passed, the request relates to dissatisfaction with hiring outcomes, the request conflicts with the applicable offer or subscription terms, the account violated the Terms, or the request appears abusive, fraudulent, or connected to payment misuse.

Using Diplotix does not guarantee hires, candidates, interviews, recruiter responses, applications, salary outcomes, AI accuracy, or business results. Lack of a hiring outcome does not by itself create a refund right.

Refund requests should be sent to support@diplotix.com. Diplotix may need account, workspace, invoice, payment, provider, and identity-verification information before reviewing a request.

7. No Automatic Proration

Diplotix does not promise automatic proration, credits, or partial refunds for:

  • Mid-cycle cancellation.
  • Downgrades.
  • Unused time in a billing period.
  • Unused job slots, credits, AI credits, recruiter seats, team features, or entitlements.
  • Plan changes.
  • Reduced usage.
  • Feature non-use.
  • Candidate or recruiter outcome dissatisfaction.

Any proration, credit, partial refund, or billing adjustment must be shown in the product, checkout, provider flow, written agreement, or approved by Diplotix.

Plan-change proration behavior may depend on Razorpay, Stripe, product state, plan configuration, and manual billing review.

8. Failed Payments

If a payment fails, is not verified, is reversed, is disputed, or cannot be processed, Diplotix may:

  • Mark the subscription as unpaid, past due, cancelled, expired, inactive, or under review where applicable.
  • Pause, restrict, downgrade, or suspend paid recruiter features.
  • Limit job posting, active jobs, AI credits, recruiter seats, team features, or other plan entitlements.
  • Require updated payment information.
  • Retry, reconcile, or review payment status through the payment provider.
  • Preserve billing, webhook, audit, security, and dispute records.

Diplotix does not promise a specific grace period unless one is shown in the product, checkout flow, provider flow, written agreement, or required by applicable law.

9. Chargebacks and Disputes

If a payment is charged back, disputed, reversed, refunded, cancelled, or voided, Diplotix may review the related account, subscription, workspace, invoice, usage, partner attribution, commission, and audit records.

Chargebacks and disputes may result in:

  • Suspension or restriction of paid recruiter features.
  • Cancellation or downgrade of a subscription.
  • Reversal of credits or entitlements.
  • Fraud, billing, or abuse review.
  • Preservation of financial, audit, support, security, and provider records.
  • Reversal, voiding, holding, or recovery of related partner commissions.

If you believe a chargeback or dispute was opened by mistake, contact support@diplotix.com. Diplotix may ask for information needed to reconcile the payment provider record.

10. Plan Changes

Recruiters may be able to upgrade, downgrade, or change plans where the product or billing provider supports it.

Plan changes may depend on:

  • Provider confirmation.
  • Subscription state.
  • Current billing period.
  • Payment verification.
  • Plan availability.
  • Usage limits.
  • Entitlements.
  • Product configuration.
  • Manual support review.

Upgrades may take effect after payment or provider confirmation. Downgrades may take effect immediately or at a future billing period depending on provider and product behavior.

Diplotix does not promise automatic credits, proration, refunds, or preserved entitlements when a plan changes unless the product, checkout flow, provider flow, written agreement, or applicable law says otherwise.

Partner commissions may be connected to eligible paid recruiter subscriptions, valid referral attribution, verified payment events, active partner status, fraud checks, payout verification, tax/KYC requirements, and the Partner Program Terms.

Partner commissions may be voided, reduced, held, delayed, or recovered if a related recruiter payment is:

  • Refunded.
  • Charged back.
  • Disputed.
  • Cancelled.
  • Voided.
  • Reversed.
  • Found to be fraudulent.
  • Connected to invalid attribution.
  • Connected to a terms violation or partner abuse.

Current implementation supports commission creation from verified Razorpay payment events. Stripe billing exists, but partner commission creation for Stripe should not be assumed unless Diplotix confirms it in the Partner Program Terms, product materials, or a written partner agreement.

If a commission has not yet been paid, Diplotix may void or cancel the related commission or payout item where appropriate.

If a commission has already been paid and the related recruiter payment is later refunded, charged back, disputed, cancelled, voided, reversed, or found ineligible, Diplotix may review recovery through offset against future payouts, direct repayment request, payout hold, or another lawful recovery process.

Partner payout thresholds, payout schedules, tax/KYC requirements, commission calculation base, clawback rules, and appeal processes require founder, finance, and legal approval before public partner launch.

12. Payment Provider Processing Times

Refunds, cancellations, payment verification, subscription updates, chargebacks, disputes, and payout-related updates may depend on Razorpay, Stripe, banks, card networks, UPI rails, and other payment infrastructure.

Diplotix does not control every provider, bank, card, or UPI processing step. Provider processing times can vary, and Diplotix does not promise exact timelines unless required by applicable law or stated in a specific written agreement.

Provider outages, webhook delays, duplicate events, failed webhooks, bank delays, card-network delays, or UPI issues may affect subscription status, payment verification, refunds, chargebacks, and partner commission records.

13. Taxes and Fees

Prices may be exclusive or inclusive of taxes depending on checkout, provider setup, invoice, plan, customer location, and applicable law.

Taxes, fees, provider charges, currency conversion, bank charges, gateway fees, withholding, and other amounts may apply.

Refunds may not include all taxes, fees, gateway charges, bank charges, currency conversion amounts, discounts, credits, or third-party costs unless required by law, shown in the checkout flow, or approved by Diplotix.

Partner commissions, payouts, tax/KYC collection, invoices, withholding, and reporting obligations require further finance and legal review before partner payouts scale.
